Enrollment leadership
Enrollment management software for admissions leaders
Directors of admissions, deans and VPs of enrollment set the rules and answer for the class. With higheredcrm.ai, you set assignment rules, capacity limits and targets once, then read the funnel, channels and team workload from the same records your counselors work in.
Covers directors of admissions, deans of enrollment, VPs of enrollment and admissions operations leads.
Leading an admissions cycle you can only see in pieces
Most enrollment leaders know the target. Fewer can see, week by week, whether each team is on course to reach it.
Figures assembled by hand
Each campus or office sends its own spreadsheet, and reconciling them takes days before every cabinet or board meeting.
Workload you can't see
Some counselors carry twice the caseload of others, and it surfaces only when replies slow down.
Priorities set by gut feel
Without shared rules for what makes a strong applicant, each counselor decides who to call first.
How control works
The numbers, read from live records
The organization dashboard is the view a leader opens first. It counts from the same lead records staff update, so there is nothing to reconcile.
Channels side by side
Leads and applications for each channel and source, from the source and campaign saved when each inquiry arrived.
Your stages as a funnel
The lead stage funnel counts leads at each of your own stages, from new inquiry to enrolled.
Each stage's share
The legend gives each stage's share of the total, so a drop between two stages stands out before the term ends.
Export for other cuts
Trends cover a fixed period with no date-range selector, so custom comparisons go through an on-demand XLSX or CSV export.
Is it a fit for how you lead enrollment?
Where it helps a leader today, and what it deliberately doesn't do.
A good fit when you need
- Setting assignment strategies, capacity limits and targets without asking IT for changes
- Team dashboards that mark each member On track, At risk or Behind against targets
- Rule-based lead scoring your team can inspect, with a score history on every record

Organization, team and personal dashboards cover the standard views, and exports cover the rest.
The scoreboard shows organization totals, not a ranking of staff.
Compare people on the team dashboard's member performance table.
The AI Assistant answers and guides; it never acts on its own.
It gives each counselor a daily briefing of who needs attention next, built on Anthropic's Claude, with shortcuts to the records; staff complete every action.
FAQ
Questions from enrollment leaders
Can I see every campus together and one at a time?
The organization dashboard shows the combined picture. Staff with access to several campuses switch between them to see each one, and team dashboards show each team's workload and overdue work.
How do I keep workloads balanced?
Choose round robin, weighted round robin or load-balanced assignment and give each counselor a capacity. With hard limits, anyone at capacity is skipped, and bulk reassign moves leads to one counselor or spreads them across a team.
Can we set targets for each person and each team?
Yes. Team defaults and per-member targets cover calls, leads, applications, follow-ups, collection, emails, SMS, WhatsApp, meetings, conversions and notes. Progress turns green at 80 percent and red below 50.
Can I see how staff use the CRM?
Journey analytics shows staff activity: active users, sessions, peak hours, top pages and actions, security events and inactive users. Audit logs record the changes made on each lead.
Who decides who sees the dashboards?
You do. Dashboards and reports are gated by role permissions, so a dean, provost or campus director can have view access without edit or export rights.

Bring last cycle's targets and team structure. We'll set the rules together and show the dashboards you'd open each Monday morning.
