Why we built it
Your counselors should spend their day on applicants, not spreadsheets.
Admissions teams do some of the most human work in education. Yet many spend their days copying data between systems, chasing the same people on three channels, and hoping nobody slips through the gaps.
The software available to them is often built for sales teams, or so complex that it takes a specialist to change a stage. We wanted something that fits how admissions works: cycles and deadlines, programs and campuses, counselors and the conversations they have every day.
So we built higheredcrm.ai: one lead record that holds the WhatsApp chats, emails, texts and calls; assignment rules that give each inquiry an owner; roles that decide who can do what; and dashboards that show where applicants drop out of the funnel.
Higher education is our focus: recruitment and admissions, from first inquiry to enrolled student. That holds for a single college and for multi-campus universities where each campus runs its own admissions under shared rules.

No application builder, applicant portal or online payments
Applications are tracked as application stages on the lead, documents are verified on the record, and payments are recorded on the lead.
No SAML single sign‑on
Staff sign in through an OpenID Connect identity provider, with optional or mandatory MFA.
No packaged SIS connector
Your SIS stays the system of record. The REST API creates and reads leads, inbound webhooks start workflows, and CSV or Excel files move records in bulk.
No security certifications yet
We don't hold SOC 2 or ISO 27001. We answer your security questionnaire in full, and the trust center lists every control in the product today.
No record-level visibility rules
Roles control which actions a person can take on each page. There's no per-role setting that limits which leads (own, team or campus) someone can see.

Help with setup
We help you choose and connect your channels and answer setup questions. The support included with your pilot is confirmed in writing when we activate your account.
Rules you can read
Routing, scoring and chatbots run on rules your staff can read and change. The AI Assistant is built on Anthropic's Claude and never saves changes or sends messages.
Tell you when something breaks
If we make a mistake or something breaks, we tell you promptly, explain what happened and show you what we changed.
Security answers in writing
Questionnaires answered in full, hosting details confirmed before you sign, and a data processing agreement for every customer.
Your data stays yours
We look after applicant data on your behalf, and you can export your lead records to Excel or CSV at any time.
