AI Assistant

An AI Assistant for admissions that shows who needs attention next.

Ask “What should I do today?” and get a daily briefing: pending follow-ups, new leads and the applicants to contact next, each with a shortcut to the record. Ask in your language; it answers in the same one. Your staff stay in charge of every change and every message.

Built on Anthropic’s Claude. Opens from the Assistant button in the CRM top bar.

What it does

Ask a question, get the records behind the answer.

Counselors, team leads and admissions directors get everyday answers without building a filter, and reach the right applicant record in one click.

A daily briefing, then follow-ups and conversion

Type the question the way you’d ask a colleague in the admissions office. The assistant answers from the leads, follow-ups and activity in your account and links you to the records behind the answer.

  • A daily briefing of who needs attention
  • Leads with no follow-up scheduled
  • Your recent leads and conversion rate

Questions you can ask

  • What should I do today?
  • Which of my leads need a follow-up?
  • Which leads have no follow-up scheduled?
  • Show me my most recent leads.
  • What's my conversion rate?
  • Show me the leads from our website.

One click from the answer to the task.

Answers show lead cards with View, Follow-up and Email buttons. They open the lead record, the follow-up form or the email composer for that applicant, and the counselor reviews and saves the rest. The assistant never saves a change or sends a message on its own.
  • Open the lead record from the answer
  • Start a follow-up or an email in one click
  • Staff review and save every change

Where the assistant stops, by design.

Know its limits before you introduce it to counselors and team leads.

Its answers can be wrong

Like any AI, it can give an incomplete or wrong answer. Check anything important, such as figures for a committee paper or board report, against your dashboards.

It doesn't make changes

It never saves a change, sends a message or edits settings. Its shortcuts open the right screen, and a staff member finishes the task.

It doesn't talk to applicants

The assistant is for admissions staff, inside the CRM. Applicant-facing chatbots are flow-based and run only the steps you design.

It doesn't score leads

Lead scoring is rule-based, with parameters and tiers your team configures.

How data is handled

It works with your CRM data, inside your CRM.

The assistant is built on Anthropic's Claude. It runs inside higheredcrm.ai for signed-in staff and answers from your own account's data, and access is protected by the same sign-in safeguards as the rest of the CRM, including SSO and MFA.

Reviewing AI for your institution?

The trust center explains how customer data is protected. For the assistant’s specific data flows, we’ll walk your IT or data protection office through them during evaluation.

AI, precisely

Where AI helps, and where rules are better.

AI is good at reading a busy caseload and pointing to who needs you next. Scoring, routing and applicant messages need to be predictable and explainable, so they run on rules your team sets and can read.

    Why it works this way
Ask “What should I do today?” for a daily briefing: pending follow-ups, new leads, priorities and the applicants to contact next.
  • Questions about your leads and numbers

    Handled by
    AI Assistant
    Why it works this way
Ask in plain words, in your language, instead of building a filter. The answer links to the records behind it.
  • Lead scoring

    Handled by
    Rules your team sets
    Why it works this way
Points per rule, with a “Why?” breakdown on every score, so a director can explain why one applicant ranks above another.
  • Routing new inquiries

    Handled by
    Rules your team sets
    Why it works this way
Round robin, weighted, load-balanced, source and zone rules give assignments you can predict, audit and defend.
  • Chatbot replies to applicants

    Handled by
    Flows your team writes
    Why it works this way
Applicants only see answers your office approved. Each published version is kept, and Preview runs the real flow.
  • Follow-up messages

    Handled by
    Workflows your team builds
    Why it works this way
Every automated message is one you designed, checked for errors before the workflow saves.
  • Saving changes and sending messages

    Handled by
    Your staff
    Why it works this way
The assistant opens the right screen. A person reviews, saves and sends.

That split is what we mean by the AI CRM for higher education: AI where reading a lot of data helps, and rules wherever an applicant, a director or an auditor needs to know exactly why something happened. See how the rules work in lead scoring and routing and chatbots.

FAQ

Questions about the AI Assistant

What is the higheredcrm.ai AI Assistant?

A chat assistant inside the CRM, built on Anthropic's Claude and opened from the Assistant button in the top bar. Staff ask about their leads and numbers, such as their most recent inquiries or who needs a follow-up today, in their own language, and it answers in the same one. Answers show lead cards with shortcuts that open the lead, the follow-up form or the email composer. Staff complete every action themselves.

Can its answers be wrong?

Sometimes, as with any AI: an answer can be incomplete or wrong. Check figures that go into a committee paper or a board report against your dashboards and exports before you use them.

Can it message applicants or change records?

No. It works for staff inside the CRM and never saves a change or sends a message. Its Email shortcut opens the composer for a counselor to write and send, and messages to applicants go through your templates, campaigns, workflows and chatbots.

Are the chatbots or lead scoring powered by AI?

No. Chatbots follow the messages, option menus, questions and conditions your team designs, with a handoff to a counselor. Lead scoring adds and subtracts points by the profiles, parameters and tiers you define, so every score can be traced to a rule.

What should our IT or data protection review ask about the assistant?

The assistant is built on Anthropic's Claude. It runs inside your higheredcrm.ai account for signed-in staff and answers from that account's data. We'll walk your IT or data protection office through its specific data flows during your evaluation, and the trust center covers how data is protected across the CRM.

Which questions does it answer well?

Questions about current CRM data: your most recent leads, which leads need a follow-up today or have none scheduled, your conversion rate and what to focus on today. For trends, team performance and cycle reports, use the dashboards and exports.
